Accounting

• Our accounting staff consists of Niki Bronec, Bookkeeper and Jennifer Brandenberger, CPA. We utilize an industry specific software system (AppFolio) to keep complete, accurate records of every receipt and disbursement that affects your property. You can easily access your account online at any time utilizing our Owner’s Portal.

• Convenient monthly statements simplify the job of tax preparation for you and your accountant.

• Copies of all work orders and receipts are digitally scanned and saved. If you request a copy of a specific work order or receipt, we can email a digital copy directly to you.

• We can mail or deposit your check directly to your account (ACH).


Documentation

• Thorough and comprehensive documentation is a key ingredient to good property management. It prevents confusion and gives everyone involved a clear understanding of what is expected. Written documentation is used to screen and lease, inspect and maintain the condition of your property. Pertinent financial information is also mailed to you.

• The Property Management contract defines our working relationship with property owners. It details the obligations and responsibilities of both parties.

• As a basis for general screening and the checking of rental references, every prospective tenant is required to complete a detailed Rental Application.

• Properties are carefully inspected prior to the time of rental. The appearance and physical condition of your property are well documented, and a Property Condition Report is filed.

• In the event of non-payment or any other violation of our Lease Agreement, tenants are served with a 3-day Notice or asked to take immediate corrective action.

• Centana Property Management prepares a Statement to property owners every month detailing the true and accurate income and expenses. This record summarizes accounting transactions and accompanies your check.


Maintenance

• Centana Property Management offers complete and professional repair services at competitive prices. We pride ourselves on our reliable and quality service. Our staff and subcontractors are competent, helpful and friendly.

• Work is charged on an hourly basis or by written bid. Centana Property Management is a licensed general contractor and is covered by workman’s compensation and liability insurance. All subcontractors provide proof of licensing and insurance that is reviewed and filed at CPM prior to performing maintenance.

• We also closely control and supervise our maintenance work. We know how much repairs should cost and how long they should take to complete.

• Regular maintenance is vital for preserving the value of your property. We protect the value of your investment by helping to professionally maintain your property.


Management Fees

• Our fees are a percentage of the gross monthly receipts from the premises and are automatically deducted from your account at the time the rent payment is posted. Management fees are not charged when the property is vacant.

• It is our goal to talk to every prospective tenant that may consider leasing in Silverbow and Deer Lodge County. We maintain a website, www.rentbuttemt.com, publish a weekly hot sheet, and constantly work our lists of potential tenants. Our website and software platform offers unparalleled exposure and distributes to over one hundred third-party listing sites including Rentals.com, Apartments.com, Zillow and Trulia.  Signage is placed on rental property in advance of the vacancy whenever possible.

• Our knowledge of the local market and our software comparison tools, allow us to quickly analyze rental prices compared to other units of similar size and bedroom count in the same geographical area.  We stay ahead of our competition with the confidence to adjust rental prices to maximize your revenue and fill vacancies faster.

• Our computer system and digital camera files enable us to maintain an exhaustive list of all features that make your property desirable.


Rent Collection

• Rent is due on the first of each month. Late notices are sent at the appropriate intervals and eviction proceedings are initiated if the tenant does not make immediate payment arrangements.


Tenant Screening

• We pride ourselves on the quality of tenants we have been able to attract. We want reliable and qualified tenants just as much as you do and our tenant screening and lease procedures help to ensure this.

• A thorough credit check is made before any lease is signed. This process includes a credit history review with the credit bureau, employment verification, and a check of any eviction or criminal histories. Additionally, we also contact all appropriate references, including past landlords.

• The use of proper legal forms, deposit disposition forms and other legal documents is always an integral part of the way we work.


Vacancies

• We make every effort to keep vacancies to a minimum and re-lease a property as soon as possible. If a tenant does decide to move, the property is thoroughly inspected. A deposit disposition is prepared, and the tenant is released from the Lease Agreement and the security deposit returned. This minimizes the preparation and turn-around time before your property is re- leased. A property condition report will not be made until the tenant has removed all furnishings and other personal belongings, and the tenant will not be permitted to re-enter the property once the property condition report is complete.
